Completion

When a document reaches the final phase of the workflow, it is forwarded to the transcriptionist or the transcription service.
This is called “Completion”. The final processing of the document occurs in this phase, such as archiving or printing.

The completion work list

If you are authorised to complete the document, you will have a button in the navigation pane on the left that shows “Completion”.
The work list only shows the documents that have the status “Completion”.

Editing a document in completion
You can edit a document by correcting it manually, in other words you can carry out the corrections using the keyboard. Move the cursor to the position in the text where you want the corrections to be made and begin typing.
You can edit the corrected text if you pause the audio file during playback. You cannot listen to the audio file and correct it at the same time. After applying the corrections, resume playback, so that you can also check the rest of the text.

Suspending and finishing a document in the completion phase


Suspending the document temporarily, for yourself It may occur that when completing a document, you are disturbed by a telephone call or an emergency. You then want to be able to suspend the document temporarily and resume completing it later. You can do this by clicking the “Suspend” button at the bottom of the screen.

If you would like the document to be available to others in your department, who are allowed to complete documents, then click on “suspend for department”.

Archiving documents
Forwarding the document

If the document is ready to be archived, you can forward it. D this by clicking “Finish” at the bottom-right of the screen. The document is then forwarded to the next scheduled phase within the document’s workflow. If you hover the mouse above the “Finish” button, you can see what the next phase is; the button is orange. This will be “Finalise”. If the document was created with speech recognition, send the document to “Adapt”. The letter will be added to the vocabulary and automatically sent to be archived as well.

Archiving multiple documents in one mouse click

You are able to archive multiple documents in one go without the need to open them separately. If you have your work list in Completion, select all documents (in the list which are ready to be archived). This can be done by selecting all documents or by pressing CTRL + click the documents of preference. Right-clicking the mouse shows a menu, choose “finish document”.

You are now asked to confirm finishing the selected documents. If the selection is correct, please click “finish”. If not, click “cancel”. If you would like to make a new selection, please follow the procedure as described above.

Bulk printing at completion

A user can bulk complete, finalise documents and print documents in the same process. A user can select whether they want to “Print document(s),” “Finish document(s)” or “Print and Finish document(s),”
The user can select the documents they are looking to finalise and “right click” The interface will look as follows.
